This policy should be read with the other VeMove policies, your current commercial schedule and the terms of the carrier service selected for a shipment.
1. Scope and roles
This Policy covers VEMOVE websites, applications, APIs, support and shipment operations. Aarama Ventures LLP determines processing for accounts, security, billing and direct support. A seller supplying recipient data is responsible for lawful collection and instructions; the Company processes that data to provide the requested shipment service.
VEMOVE is intended for adults and authorised business users, not children. Do not provide a child's data without lawful necessity and authority. Merchants must give customers and recipients the notices required for shipment, delivery, support and communications before sending their data to VEMOVE.
2. Data we collect
We collect account, contact, role, OTP delivery and verification data; KYC, PAN, GSTIN, bank, business, address and document evidence; shipment, sender, recipient, item, value, weight, dimension, payment, AWB, scan and proof data; wallet, invoice, recharge, COD and payout records; integrations, APIs, webhooks, support, disputes, claims and consents; and device, IP, cookie, usage and security logs.
Hosted payment flows are handled by the payment provider; VEMOVE does not intend to store card or UPI credentials. We receive data directly from users, their authorised colleagues, connected stores and marketplaces, carriers, payment and banking providers, identity-verification sources, support interactions, devices and public or regulatory sources where law permits.
The free CSV analyzer runs in the browser and does not upload the selected file. If you choose to email or otherwise send a report for a human review, it becomes support content and is retained only for that review, follow-up, security and applicable legal needs. Remove data that is not needed for the request.
3. Why we use data
We use data to create and secure accounts; verify identity and bank details; quote, book, manifest, hand over, track, return and reconcile shipments; send service events; process payments, tax records, refunds and COD; run integrations; prevent fraud; support users; investigate claims; enforce agreements; comply with carrier and legal duties; and maintain audit, reliability and security evidence.
Optional marketing uses a separate choice. We may use non-identifying aggregated data for product improvement and reporting. We do not sell personal data.
5. Retention and security
We retain data for its purpose, active accounts and shipments, contractual limitation periods, claims, fraud prevention, and applicable tax, accounting, postal or legal periods. Deletion removes or anonymises data no longer needed, while invoice, ledger, COD, consent, claim and carrier evidence may remain for lawful periods.
We use reasonable risk-based access, tenant, credential, encryption, logging, backup and incident safeguards. No system is completely secure. Where law requires breach notice, affected people and authorities will be notified in the required manner and time.
The current in-product account-deletion flow checks identity and active shipments, then removes or de-identifies specified account fields, pickup addresses and stored KYC content. Shipment, integration, financial, consent, security and other records may remain where the system does not yet erase them or where they are needed for another party's rights, tax, accounting, carrier, claim, fraud-prevention or legal purposes. Contact sales@vemove.in before deletion if a wallet balance, COD, claim, chargeback or integration is unresolved.
6. Public tracking and connected services
A person who has a valid AWB may be able to view shipment status, event history and limited origin or destination postal information on the public tracking page. Treat the AWB as shipment information and do not publish it unnecessarily. VEMOVE should limit public tracking fields and may ask for additional recipient information where a more detailed view is offered.
Connected stores and marketplaces may send order and customer details under the permissions you approve. Disconnecting a source stops future VEMOVE sync after processing but does not automatically revoke every provider token or delete historical imports and shipment records. Use the provider's own controls where immediate revocation is required and contact sales@vemove.in for an applicable deletion request.
7. Choices and rights
Subject to applicable law and its commencement provisions, you may request information, access available account data, correction, erasure, consent withdrawal, nomination where provided, and grievance redressal. The Digital Personal Data Protection Act, 2023 and Rules, 2025 have phased commencement; this Policy does not represent that a provision is operative before its notified date. Identity verification, other rights, active shipments, fraud, retention and legal claims may limit a request.
Optional marketing can be withdrawn without stopping service messages. Withdrawing data required for service may restrict that feature. Send requests to sales@vemove.in; we will verify and respond within the legally required period.
8. Cookies, contact and changes
Essential cookies may support login, security, preferences and operation. Optional analytics or advertising requires the applicable notice and control. Booking, tracking, exception, billing, security and policy messages are service messages.
Contact sales@vemove.in for a privacy request or complaint, and sales@vemove.in for shipment or payment support. A material change will receive a new dated version, notice and a reviewed consent or re-acceptance step where required. The English version controls until a professionally reviewed translation is published and its accepted version can be recorded.
Start with a written record.
Email sales@vemove.in with the account email, order or AWB reference, relevant dates, evidence and the resolution requested. Never send a password or payment credential.
